Mind in Mid Herts support people who are suffering or who have suffered from mental and emotional distress. They offer a range of prevention, support and recovery services across St Albans, Stevenage Welwyn Garden City and Hertford. At the time of writing there are currently 55 employees, 11 trustees, and 78 volunteers.

When did you start using Charitylog?

In 2018 – but it really came into its own in 2020 with the first lockdown. Since then, it’s been used right across the organisation – pretty much everything is on Charitylog!

Was it easy to get started?

Julia: Yes, the training was pretty straightforward for me, and I now deliver it to new counsellors. We use the test system when we’re training because we can show counsellors how to set clients up without doing anything on the live system.

What kinds of things do you use it for?

We use it for everything. Client records, notes and other information about our clients are all stored on Charitylog. Anything that needs to be shared securely across our teams.

We use it for both the NHS IAPT talking therapies service and our own low-cost counselling. For the NHS, we had to adapt it slightly to fit in with their system, so there are some workarounds, but now we run lots of reports for the NHS, all from Charitylog.

We use it for rostering too: when we book in a client for counselling, we’ll set them up with job cards on Charitylog, then let the counsellor know. They can then add in their notes.

Do your volunteers use Charitylog?

Yes, our volunteer counsellors all use it – that’s where they access their client records and log their notes. We’ve set the permissions so they only see what they need to. It means we don't have to worry about data breaches. A lot of other counselling agencies still use paper notes, and then you’ve got to store them in filing cabinets. It’s so much easier and safer having it all in Charitylog – especially as some of our counsellors work remotely online.

Would you recommend Charitylog?

Yes, definitely. It's user-friendly and our counsellors are comfortable using it.

It’s easy to access what we need, we can look up clients, store information, share things confidentially across the organisation – it does whatever we need it to do. We’ve now gone completely paperless. And the Charitylog team are really helpful too!
